e-Invoicing 2026 in Poland — what you need to know before it's mandatory

Poland's National e-Invoice System (KSeF) is changing how businesses issue and store invoices. Instead of a PDF emailed to the customer, the document goes into a central system run by the Ministry of Finance — and your client picks it up from there, not from you.

What actually changes

Every structured invoice has to be submitted to KSeF before it counts as issued. That requires integration — issuing invoices manually in a spreadsheet or a simple accounting tool stops being enough once the system doesn't connect to KSeF automatically.

For small service businesses — hairdressers, workshops, clinics — that means one thing: the system you use every day should already have this built in, so you don't have to think about an extra step on every sale.

Check whether your current sales or invoicing system has KSeF integration on its roadmap. If not, now's a good time to look for a solution that handles this for you instead of bolting on yet another tool.
